Role Purpose:

An experienced and dynamic Executive Assistant (EA) to support several senior leaders as well as to play a lead role managing the general head office administration for Lootah Holding numbering circa 15-20 employees. The ideal profile of candidate sought will first and foremost be someone who is highly organized and efficient, able to use their own initiative and work often independently with limited supervision. High enthusiasm, creativity, and resourcefulness will also be essential.

Key Responsibilities:

  • Provide high-level administrative support.
  • Management of calendars for multiple executives, including conflicts, priorities, recurring meetings, management of the daily and weekly schedules.
  • Processes purchase orders through Dynamics 365.
  • Ability to maintain highest level of confidentiality at all times.
  • Act as a project manager for special projects, which may include supporting with multiple presentations, disseminating information, memos, letters and other documents.
  • Assist with other projects and work as needed and assigned.
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Attend meetings when needed to record minutes.
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
  • Type and design general correspondence, memos, charts, tables, graphs etc.
  • Managing all meeting rooms; including dealing with requests and preparing rooms.
  • Manage leave track for employee from Lootah Holding.

Qualifications:

  • Previous administrative or secretarial experience is required.
  • Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management.
